Invoices

Sealed invoices recipients can verify

Seal invoice PDFs so buyers can open a public link and confirm the file has not changed since you sealed it — then follow pay or report paths your plan already supports.

A sealed invoice fingerprints the invoice file and publishes it on a verification page. Beside seal status, the page can show the amount due so payment is tied to the sealed record — not a swapped attachment.

That layout reduces the classic “which PDF was final?” argument. The client opens one link, confirms integrity, sees what they owe, and can pay without hunting a second portal — without claiming every invoice dispute disappears.

Opcilo is not a full accounts-payable or ERP system, and it does not verify the identity of the person who opened the link.

Invoice generation lifecycle

Pro negotiation journey: create and share for review, loop on change requests, confirm agreement, then issue a sealed invoice with Pay Now on one verification link.

Invoice journey

  1. Created

    Build lines and totals

  2. Shared

One review link — not sealed yet

  3. Confirmed

    Client agreed on this version

  4. Issued

    Sealed and payable

  5. Paid

    Collected on the verify page

From Shared, the client can:

  • Confirm

    Agreement — still not sealed

  • Changes requested

    Comment required

    You update

    Edit, then share again

    Loop back to Shared

  • Declined

    Re-share to reopen

    Share again → Shared

Created → Shared → client responds. Changes requested or Declined loop through an update and re-share. Confirmed means agreement — Issue seals and enables Pay Now.

Invoice attachment chaos

Teams call it invoice spam: look-alike PDFs, “corrected” attachments, and threads where nobody agrees which file is final. Paying the latest email attachment is not the same as paying the agreed invoice — totals or bank details can change while the filename still looks right.

Hierarchical work packages

Pro invoices group parent work packages with billable sub-lines. Parent totals roll up from children so the PDF and verify card match how you present the work — Free keeps a simple flat path when you issue and seal immediately.

Share, confirm, then seal

Share for client review before anything is locked. Clients can Confirm, Request changes (with a comment), or Reject. Feedback stays on the invoice record. Issue when you are ready — that seals the file and enables Pay Now on the same link.

How sealed invoices collect payment

After Issue, recipients open the verification link without an account, confirm integrity, see amount due, and use Pay Now (Stripe) or your payment instructions against the sealed record. You can notify when the invoice is sealed and when payment is reported.

Why this reduces invoice disputes

Negotiation happens before the seal, on-record — not buried in email. After sealing, a swapped attachment no longer matches. Payment conversations start from a shared, checkable file and amount due.

Plans and availability

Hierarchy, share-for-review, and Pay Now on sealed invoices are Pro (and above). Free sealing still proves integrity. After business verification (KYB), Issuer Verified workspaces can also pair invoices with a Trust Badge.
